Know what is on every shelf.

Stock, purchasing and files in one place. Inventory counts what you keep. Procurement takes every purchase through the approvals you set. Records knows where each file is and how long it stays. Draw your rooms once, and anyone can find anything.

Everything turned on. No card needed.

Inventory: the count on every shelf, kept true

The same few steps every day, whether you run one storeroom or twenty. Each one updates the count, so nobody adds it up at month end.

  • Receive Goods from suppliers, donors or purchase orders, with batch numbers, expiry dates, costs and the delivery note attached.
  • First to expire, first out Warnings before a batch expires, and the batch that expires first is the one given out.
  • Move and correct Distributions with a purpose, transfers between locations, stock counts and adjustments, each with a reason.
  • Departments ask A request portal for each department, approvals you set, and part issues when the shelf is short.
  • Labels and reports Barcode labels for shelves and cartons, reports by location, purpose and expiry, and an audit trail of every movement.
A storeroom shelf with yellow shelf tags for rice, bottled water, hand sanitiser, bandages and printer paper. A receipt for 24 bags of rice and 40 cases of water is posted, and the counts on those two tags go up to 172 bags and 76 cases.

Procurement: your purchasing policy, drawn as a flowchart

Who approves what, in what order, and above which amount. Every request follows the flow from the department’s ask to the final payment, and the record keeps itself as it goes.

  • Draw your flow. One flowchart for each kind of request: approvals, quotations or tender, evaluation, committee votes, the purchase order, receiving and payment.
  • Positions, not people. Steps go to the department head, the finance manager, the managing director or the board. People change jobs; the flow does not.
  • Limits by value. Decisions such as “above J$250,000?” send each request down the right branch by themselves.
  • Ask before deciding. An approver can ask colleagues for specifications, drawings or a second price. Everyone sees who the request waits for.
  • A file for the auditor. Download the complete procurement file as a zip: the path the request took, every approval, quotation, vote and document.

For public bodies: the Jamaican public procurement thresholds (quotations up to J$3M for goods and services and J$5M for works, tender above) and the PPC and Cabinet tiers, ready to use.

Records: a registry that knows where every file is

What else goes on shelves? Files. Register them against your file plan, keep them as long as the schedule says, lend them and get them back, and dispose of them properly.

  • File plan and retention. Start from the business schedule: Companies Act, tax, payroll, employment, contracts and the Data Protection Act 2020. Change any period.
  • Paper and electronic. Files and scanned documents with every version kept; confidential and secret files seen only by the people allowed.
  • Lend by scanning. Scan a file or archive box at the registry desk to lend it or take it back. Staff ask for files from their own desk.
  • Dispose with sign-off. Files due are listed for you, legal holds keep files back, and each batch is approved and signed off before a certificate is made.
  • Personal-data requests. Requests under the Data Protection Act 2020, with the date each answer is due.

For public bodies: a JARD-style retention schedule under the Archives Act, the JARD disposition authority as part of every disposal, and Access to Information Act requests with their one extension.

Rooms and shelves: every item has a home, every file its shelf

Draw each storeroom, registry and records centre once, in metres, with its doors. Stand shelving, cabinets, filing cabinets, mobile shelving, pallet racks and plan chests on the floor, and see it all in 3D.

  • A place for everything. A place is a unit, a shelf and a bay, written like RC / B2-3-2 and said in words.
  • Where is it? Search for an item, a file or a box, and the room opens with the shelf lit up.
  • On the pick list. Each item’s home place shows when stock is picked for a department request.

Included at the Standard, Large and Unlimited sizes.

Scan with what you have

A USB or Bluetooth barcode scanner, or a phone. The scan box is always ready, so nobody clicks into a field first: scan an item on a receipt, a file at the registry desk, a box on its way to the records centre.

  • Print barcode labels for shelves, cartons, folders and boxes from the app.
  • A short beep for a good scan and a low buzz for a bad one, so staff need not look up.
  • Works in the browser on phones and tablets; camera scanning where the browser supports it, such as Chrome on Android.

For organisations of every kind in Jamaica

Anywhere goods come in, sit on a shelf and go out again; anywhere purchases need approval before money is spent; anywhere files must be kept, found and disposed of properly.

Distributors and wholesalers
Several warehouses and branches, transfers between them, batches and expiry dates, and purchase orders approved by value before they go out.
Hotels and guest houses
Linen, amenities, kitchen and cleaning stock across housekeeping, kitchen and maintenance, with purchases approved before they are ordered.
Hospitals and clinics
Medical supplies by batch and expiry, issued to wards as they ask, and patient and staff files lent and returned at the records desk.
Schools and colleges
Stationery, cleaning and canteen stock requested by each department, and student and staff files kept for as long as they must be.
Churches
Welfare pantries and outreach supplies with a record of what was given and why, and minutes and property papers you can put your hand on.
NGOs and food banks
Donations in and relief out by batch and expiry, so nothing spoils, and purchases approved the way your board and donors expect.
Construction firms
Materials and tools across sites and the yard, purchase requests approved by value, and contract and project files with their drawings.
Companies and professional firms
A purchasing policy that runs itself, from the request to the purchase order, and company and client files kept to their retention periods.

Public bodies

Say so when you sign up, and the government rules are set up for you. Everyone else starts with business rules.

Ministries, departments and agencies
Procurement under the public procurement rules, with PPC and Cabinet decisions on file, stores in several parishes, and a registry run to the Archives Act.
Parish councils and municipal corporations
Works and goods each on their own flowchart, the stores that serve each division, and council minutes, building plans and case files.
Statutory bodies, public hospitals and schools
The same public rules where they apply, JARD disposal authorities and Access to Information requests, alongside everyday stock and requests.

Records you can stand behind

The things managers, boards and auditors ask about, built in from the start. Your organisation’s name, logo and colour are on every screen your staff see.

Every change is recorded
Who did it, when, and the values before and after. Auditors can read the trail without asking anyone.
Roles and permissions
Storekeeper, registry officer, records manager, auditor and more, or roles of your own with exactly the access they need.
Nobody approves their own
Approvals go to the people your flow names, never to the person who raised the request.
Restricted files stay restricted
Confidential and secret files are seen only by the people allowed, and every look at a secret file is written in the audit trail.
A workspace of your own
Every record is tied to your organisation’s workspace. Other organisations cannot see it, and you cannot see theirs.
Never held to ransom
If a trial or subscription ends, the workspace becomes read-only. Nothing is deleted, and you can still export.

Questions people ask

More on the pricing page, or ask us.

Is ShelvesJA only for government?

No. It is for companies, NGOs, churches, schools and hospitals as much as for ministries, agencies and parish councils. Procurement follows the approval flows and spending limits you set, and Records starts from business retention periods.

When you sign up you say whether you are a public body. Public bodies start with the Jamaican public procurement rules, JARD retention and disposal, and Access to Information requests ready to use. You can change this later in Settings.

Do we have to take all three modules?

No. Pick the modules you need, one, two or all three, at the size you need, and add or drop one when your work changes; what you entered stays where it is. Taking more than one costs less: 10% off two modules and 25% off all three. Build your price.

What does the free trial include?

Everything: all three modules and every feature, for 30 days. No card is needed. When it ends, choose your modules and size and keep everything you entered. If you do not, the workspace becomes read-only and nothing is deleted.

Does it work on phones?

Yes. ShelvesJA works in the browser on phones, tablets and computers. Scan with a USB or Bluetooth scanner, or with the phone’s camera where the browser supports it (such as Chrome on Android). An Android and iPhone app is coming soon.

Can you help us set up?

Yes. We can bring in your item lists, spreadsheets and card indexes, set up your locations, roles and approval flows, draw your rooms and file plan, and show your staff around. Tell us what you need or write to hello@shelvesja.com.

Count it once. Find it every time.
